Our Terms and Conditions


Ever So Vintage's General T&C

  • A non-refundable 20% deposit is required to secure your date. The balance is to be paid no later than 30 days prior to your event. By paying the deposit and/or signing off on your Delivery note, you are agreeing to the Terms and conditions listed.
  • If you cancel more than 30 days before your hire period, you will not have to pay the remaining 80% balance but will not receive your 20% deposit back. If you cancel less than 30 days before but more than 14 days, you will receive a 50% refund from your 80% Balance. If you cancel 14 days or less prior to your hire period, you will receive no refund. To cancel a hire, you must inform us by email.
  • A damage deposit is required ranging from 100- 350 depending on the value of the hire items, payable with final balance. This shall be held by Ever So Vintage, Party Hire, until the hire items have been safely returned/Collected, in a clean, undamaged condition. In the unlikely event that any items are damaged or missing the repair/replace value will be deducted from this deposit. In the event of damage/loss exceeding the deposit paid the hirer agrees to pay the excess. A subsequent invoice will be issued and the hirer agrees to make payment within 14 days of invoice issue.
  • On clean, undamaged return/collection of all the hired items your damage deposit will be returned within one week of your event date
  • Breakages or repairs are charged up to 4 times the advertised hire price unless otherwise stated.
  • The items hired must be used for their intended purpose, damages caused by misuse will be charged at up to five times the hire rate.
  • If an item is damaged or lost prior to your booking you will be informed and every effort will be made to make a like for like replacement, if this is unsatisfactory you will be entitled to a refund for that item.
  • We normally deliver to your venue the day prior to your event to ensure items arrive on time and to allow any unexpected problems to be solved. If you wish us to deliver on the day of your event, then you do so at your own risk. We have every measure in place to make sure items arrive on time but cannot account for events out of our control. When we deliver items we require you or someone who has agreed to sign for you to check hire items with us. This process can take up to half an hour so please allow time for this. The person signing for the items will be fully responsible for hired items throughout the hire agreement. We require a name and two contact numbers of the person signing for the items prior to delivery. If no one is at the venue to sign for the items then we will not deliver them but you will still be liable for the full cost, including delivery and set up charges.
  • On Collection, normally the day after your event, please allow up to half an hour for the hire items to be signed off. The items will be signed off when you and the collection driver have both agreed that all items are present and in the same condition the items were delivered in. If all items are present and in the same condition they were delivered in, then both parties will sign the items off. If they are not in a satisfactory condition or missing, then the driver will write amendments down and then both parties will sign the items off. If no one is made available on collection then Ever So Vintage, Party Hire will sign off on your behalf, and any losses or damages recorded by Ever So Vintage, Party Hire, will be deemed to be factual, and therefore payable by the hirer.
  • Hire items will be your responsibility to set up unless you have booked a Styling/Set up service at an additional charge. (With the exception of the Edwardian Sun Shade Frame & Grass Love Letters, where we will set up at no charge)
  • Please contact us prior to booking to discuss this option.
  • Some of our hire items require staking, it is your responsibility to make your chosen venue aware of this and to obtain permission prior to making a booking.
  • On Collection all the hire items must be gathered, at a convenient place and agreed time, ready to be loaded and signed off, unless you have booked the Styling/Set up service. If this is not done an additional charge will be made. (With the exception of the Edwardian Sun Shade Frame & Grass Love Letters, where we will dismantle at no charge)
  • Collection in person. We reserve the right to refuse hand over of the items if your vehicle is unsuitable. We are not responsible for customer loading of vehicles. Loading of customer vehicles is done so at your own risk.
  • You may not sub hire our items. The person booking the items must be the person or a representative of the person who intends to use them.
  • From time to time we offer free hires or reduced hires for charities or in exchange for promotion. In these cases, the Terms and Conditions still apply, we require a deposit and you will still be liable for the hire.
  • We reserve the right to refuse a booking to anyone if we feel the items are not suited to the hire purpose or you, your company, event or our company's ethos.
  • The items hired from Ever So Vintage, Party Hire, remain the property of Ever So Vintage, Party Hire, throughout the hire agreement.
  • The care of items hired from Ever So Vintage, Party Hire, during the hire period is the sole responsibility of the hirer. Items are used at the hirers own risk and Ever So Vintage, Party Hire, accepts no liability for injury to persons or damage to property caused during the hire agreement.
  • Ever So Vintage Party Hire excepts no liability for any damage to third party property or person whilst the hire items are in your charge.
  • Payment of your deposit indicates that you have read Ever So Vintage Party Hire's terms and conditions and agree to abide by them.
  • END.


GRASS LOVE LETTERS T&C

  • Nearer your wedding / event we will make arrangements for delivery, positioning and collection either with yourself or with your venue / event planner.
  • The Grass Love Letters will be set up on the morning of your event and collected that evening at an agreed time.
  • Please make your venue aware that you will be having the Grass Love Letters displayed on their grounds and that pegs are used to secure them.
  • The letters must be displayed on grass, as they are pegged to secure in place and are not to be moved once in place.
  • If you wish the letters to be displayed indoors, they must be positioned against a wall.
  • The letters are not to be climbed on, although small children can sit on the lower part of the L and the E.
  • In the unlikely event of missing or broken letters a charge will be made to cover their replacement and this will be deducted from your damage deposit, or if for a larger amount a subsequent invoice (not more than four times the hire rate) will be payable within two weeks of issue.
  • Ever So Vintage, Party Hire takes no responsibility for any damage to third party property or person whilst the letters are in your charge.
  • This is in addition and not excluding Ever So Vintages General T&C. Which by paying your deposit you acknowledge having read and agree to abide by.
